Set up articles in KLARA

Time required: Approximately 30 minutes.

The effort is worth it: Thanks to KLARA, you will save a lot of time in the future. 

  
Chapter 1

Preparation

Please have the following information ready.

  • General information about your items:
    Information from your previous offers and invoices.

  • Value added tax details: You can ask the trustee or the federal tax office.

  • Item variants:
    Information about all possible variants of the same product.

  • Prices:
    Information from your previous offers and invoices.

  • Article sets:
    Information about possible product combinations.

Chapter 2

Enter article

Add the general and basic information about your products or services. In our FAQ you will also find further information on this.

Required info: General details of your item, picture, description and price.

 

Good to know.

  1. If you have a lot of items, it's best to use KLARA's bulk import function. Download our Excel template, fill it out and upload it again.
  2. Articles are basic components of KLARA. They correspond to the various work materials, products and services that you want to sell  or charge your customers for. These are, for example, wall paint, cleaning products, T-shirts, flowers, graphics or advice.
   
Chapter 3

Value added tax information

To bill your items in accordance with the law, you should configure the VAT charges for the item accordingly. You can find more information on this . If you are not liable for VAT, you should not select the VAT field.


Required information: VAT type, billing method (effective or net tax rate), billing type (collected or agreed)

Good to know.

If you do not know these details, you can request them from your trustee or the Federal Tax Administration. Please make sure that your VAT details are entered correctly. You are obliged to show your customers the correct VAT on the invoice. 

   
Chapter 4

Define article variants

You can configure different variants of a product. Thanks to the simple drop-down menu, your customer has a better overview of the entire range and can select the product variant that suits them best.

The same applies to you and your employees when it comes to selecting the right items for order management, KLARA POS, project or the online store.

Required info: Information about all possible variants of your products

Good to know.

  1. For example, you can enter the item "T-shirt" and configure the "Size" option with the values "S", "M", "L" and the "Color" option with the values "yellow", "red" and "black".
  2. You can use different images for each product variant.
  3. Of course, you can also set a specific price for each variant of your product. 
   
Chapter 5

Manage prices

Define the prices for all product variants. You can define different prices over time and for different target groups.

Required information: Your current price list and all information that will allow you to set your prices

Good to know.

  1. On the one hand, you can create different price categories depending on the target group. For example, you can offer your top customers a product at a lower price. Or you can set one price for direct sales in your store via the KLARA checkout and another price for sales in your online store.
  2. You can also plan the price development of your products in the long term. This makes you extremely flexible, allowing you to plan promotions or react immediately to changes in your suppliers' conditions. 
   
Chapter 6

Compile article sets

Are some of your products or services often sold together? If, for example, the size L black T-shirt is often sold with size L black trousers, you have the option of creating an item set that contains both products.

Article sets can easily be added to quotations in order management, sold in the KLARA cash register, offered to the online store or invoiced together in KLARA Project.

Click on "Add article set" to create a new set. Define the article number, the barcode and the article set tag. Note: Remember the article set tag so that you can add the corresponding articles to the set later. Define the name, description and unit of the article set.

Once you have created an article set, you can add individual articles to it. To do this, open the detailed view of the corresponding article and select the previously defined article set tag under Article set.

Good to know.

  1. Would you like to offer the items contained in the item set at a lower price than if you sold them individually? Then enter a separate price category with the item set tag. KLARA will then automatically calculate the total price of the item set.
  2. Thanks to the integrated translation function, you can display the item description in multiple languages at the touch of a button.
